Citywide runs programs at four partner schools, each with its own pickup window — opening 20 to 40 minutes before pickup — and its own classes, so the office and the coach both know where to be and when.

Requests arrive with where they came from—a QR code on a flyer, a shared link, social or direct. A quiet 24-hour clock keeps them moving, and the overdue ones rise to the top of the office inbox.

  • Children’s schedules stay private. The public class catalogue is off by default until you choose to show it.
  • One timeline per lead, with follow-up nudges Academy proposes and a person sends—never automatic.
  • Household match and conversion flag families you already know and count who enrolled, and where they came from.
  • Retention signals show you which children have stopped turning up and whose enrollment is nearly over, while there is still time to call.

01 · Mid-season enrollment

A family joins a class that started in May, and pays for four sessions.

Filtering by day and by the child’s age leaves only the groups that fit, each with its price and either the places left or a waitlist. Before anyone confirms, the €176.00 full-series price becomes €39.08, because fourteen of the eighteen sessions have already been played.

02 · Class transfer

A Tuesday clash becomes a Thursday place — settled, not just moved.

A parent asks to move his son out of the Tuesday group because swimming lessons start after the holidays. The office sees the class already paid for, the class requested and the reason, and Academy prorates the new place so the price difference is settled at the same time.

03 · Class delivery

The coach takes the register once. The office already has the season.

One button marks the whole group present; absent, late and excused are one tap each, with room for a note. The same marks build the office grid — every student against every held session, with an attendance percentage and an audit trail on later corrections.
