We start with a discovery session: your courts and how they’re booked, your coaches and rates, your programs and seasons, and the way the front desk handles the day. We map that to Academy before anything is imported, so the setup fits how you already work.

2 · We bring your records across and check them with you.

We bring across the records we agree on: people, the households they belong to, memberships, coaches and account access. You see the whole list before anyone signs in, so a family arrives as one family and a coach arrives with an account that works.

3 · We configure classes, courts and the schedule with your team.

Together we set up your programs, series, camps, court rates and the schedule the office runs week to week. Your team makes the calls and we do the setting-up alongside them, so the people who run the week know every setting by the day you go live.

4 · We train your office and coaches on real requests.

We train office staff and coaches on the work they do every day: covering a sick coach, moving a child to another class, closing a cancellation and the cash-up — all in the Decision Inbox — plus roll call and answering a parent on the office line. The training runs on your own data, so day one is already familiar.

Your members see your club.

During onboarding your organization gets its own identity on every screen a member or parent opens: your name, your logo and one accent colour from a palette we keep readable — in English, Dutch or Spanish. A padel club, a tennis club, hockey, swim squads, a dance studio, a music academy or an after-school chess club — it carries your name either way.

What it costs, and what’s separate

What onboarding costs.

Guided onboarding starts at €2,400. It is a one-off, scoped to your club’s records: the people, households, memberships, coaches, programs and rates we agree to bring across, and the setting-up and training around them. We quote it from the six things above, so you have the number before we begin.
Academy Managed is from €499 a month, plus VAT. The monthly price covers the ongoing service: your named contact, priority support and first call on what we build next. Feature work built specially for your club is quoted separately.
