Club and program management software

Run classes, courts, coaches and payments from one shared workspace.

Members book courts. Families join lessons and programs. Coaches see their work. The office sees schedules, attendance, payments and changes together.

Set up your club from €99 a month—or book a 45-minute demo and bring next week’s schedule.

The coordination problem

Court booking in one system. Members in another. Lessons in a spreadsheet.

A booking can be correct while the roster, payment list and group chat are already out of date. In Academy, one decision updates the people, schedule and payment it affects.

Booking

A court move also needs to reach the lesson roster.

Money

A cancellation also needs the right family credit or refund.

Communication

A coach change must reach the office, substitute and both calendars.

One shared week

Every role gets the right view of the same week.

The office decides, the coach delivers and the household follows. A change is made once, and the office screen, the coach’s phone and the family’s app already agree.

Office

Decides

Capacity, assignments, exceptions and money.

Coach

Delivers

Calendar, roster, attendance and updates.

Household

Follows

Court booking, lesson enrollment, payments and class news.

Your money

Member payments settle to your own Mollie account.

Every euro a family pays goes straight into the club’s own Mollie account—lessons, memberships, camps and court hire—under the club’s name and on the club’s payout schedule. Your Academy subscription is a separate bill, from Contakt to you.

Settles to your account

The club’s name is on the payment.

Family payments land in the club’s own Mollie account, and the payouts, the statements and the bank stay with the club.

Two separate bills

What families pay and what Academy costs stay apart.

Families pay the club. Contakt invoices the club for Academy. The two stay separate in the records, in the exports and at the bank.

Refunds with receipts

A refund stays attached to what it undoes.

Refunds and credits keep the original payment, the household and the reason together, so the office can still answer “what happened here?” in March.

Cash counts too

The drawer closes with everything else.

Cash and card at the desk land in the same daily cash-up as the online payments, split by method and by source. The register comes with Academy Complete.

For clubs and program operators

Three connected workflows

Communication

One line to every family and coach.

Each household and coach keeps a single pinned chat with the club office, and every class has its own thread. One place to write, one place to look.

In every plan

The office line

One maintained chat with the club office.

Every member household and coach has a single pinned conversation with the office—staffed by the whole admin team, with each reply signed by the person at the desk.

  • Answered by the team, signed by a person. Replies show as “Office (Anna),” so families always know who they spoke to.
  • Per-class group chats. Every class has its thread with attendance and RSVP cards, reactions and read receipts.
  • A notification inbox you can act in. Approvals, decisions and roll calls are answered where they arrive.
  • It updates itself. Badges refresh about once a minute, and email and in-app notifications reach the people who aren’t looking.

Front desk

A register at the counter, counted at the end of the day.

Sell a tube of balls, a guest court hour or a regrip at the desk. Take cash or the card terminal. Close the day knowing what was taken, by whom and at which VAT rate.

Academy Complete

The register

Tap to sell, with the VAT already on the item.

The desk catalogue holds your own products and services, each with its own VAT rate. Staff tap what they sold; the till adds up the VAT and puts the sale on the family’s account when there is one.

  • Cash and card terminal. Both settle into the same day, so the drawer and the terminal report agree with the books.
  • A refund the desk asks for, the office approves. Front-desk staff file a refund request; only Owner or Office moves money. The request stays on the payment.
  • A daily cash-up. You count the drawer, Academy shows what it recorded and the difference is written down—by payment method and by source: desk sales, court hire, lessons.
  • VAT export. Download the day or the week as CSV, split per rate, in the shape the bookkeeper asks for.
  • Staff roles. Owner, Office and Front desk each reach a different part of the club, and you can tune it per person when a job doesn’t fit the label.
  • iPad desk mode. The same register, laid out for a tablet on the counter.

What it does not cost

No commission on a single booking.

Booking platforms take a percentage of every court and every lesson. International suites price a club your size at eight to fifteen thousand a year, all in. Academy is a flat monthly plan and nothing per transaction, so the relationship with your members—and the margin on it—stays yours.

Flat, not a percentage

A busy month costs the same as a quiet one.

Your plan is the same in July as in January. Filling more courts and more classes makes the club more money, not the software.

Your rail, your rates

Payments run on your own Mollie account.

iDEAL and direct debit at Mollie’s own rates, settling under the club’s name. Contakt is never in the middle of the money.

Your data, always

Exportable in open formats, by contract.

Members, enrollments, attendance and payment history are yours to take out whenever you want them, in formats another system can read.

What Academy covers

Everything the club week depends on.

A change to a person, lesson, payment or schedule appears for every office user, coach and household it affects.

01

Programs

Lessons, series, camps, enrollment and attendance.

02

Courts

Schedule, member bookings, guest bookings, court blocks and court use.

03

People

Households, participants, coaches, roles and consent.

04

Money

Prices, payments, receipts, credits and cash-up.

05

Communication

Announcements, class threads and message status.

06

Office

Approvals, exports, change history and schedule views.

Confidence to switch

Switch without losing schedules, payments or history.

Contakt keeps schedules, people, payments and decisions together. Onboarding starts from your real classes, courts, roles and records.

New club

Start on a clean workspace.

Set up classes, courts, coaches and office roles before staff and families enter the workspace.

Existing club

Bring your club with you.

We go through your people, households, logins and past records with your team, and check them with you before anyone signs in.

Payments

Every payment says who paid and what for.

Each payment keeps the family and the thing they bought attached, and lands in the club’s own Mollie account.

Control

Your records leave with you.

Export people, households, schedules, consent and payment records whenever you want. A parent asks what you hold on their child; you export it and hand it over. Consent records, anonymisation and the audit log are in every plan, and our legal documents—data processing agreement, subscription terms and privacy notice—are published at permanent versioned URLs.

Built from the court

The demo starts with next week’s schedule.

Contakt Academy grew from coaching across clubs in The Hague and Amsterdam—where schedules, parents, courts, coaches and payment records all need to agree before the first ball is hit.

Founding clubs

Five founding contracts. Four still open.

The first founding club is onboarding now. Four places remain. A founding club runs on Academy Complete with hands-on managed service, keeps a direct line to the founder, and helps decide what ships next.

We take a founding club the way we would take a season: your classes, your courts, your records, your team—set up with you, then supported by the person who wrote it.

FAQ

What owners ask first.

How do we get started?

Create your club or program yourself on any plan: choose Core, Plus or Complete, set it up and open enrollment. You start from an empty schedule and fill it in as you go. Want company? Book a demo, bring next week’s schedule and one problem the office needs to solve, and we’ll map your people, payments and current systems and recommend the plan. There are five founding contracts in total and four places are still open; ask if you want one.

What does it cost?

Start Core is €99, Start Plus €199 and Academy Complete €349 per month, plus VAT. Academy Managed starts from €499 per month; setup, migration and the final scope are quoted separately.

Can coaches and families use Contakt on their phones?

Yes. Academy includes native iOS and Android apps for coaches, office staff and households. It also runs in the browser on phone, tablet and desktop, and can be installed to the home screen.

How do our records move in and out?

With managed onboarding we agree which people, families and logins come across, then set up your classes and schedule with your team. Whenever you want your records back out, you export them.
