02 · Court hire → cash-up

Every court has a rate. Every evening the drawer has to match.

Harbourline's ten courts each carry a surface, a tier and an hourly rate the office sets once. At closing the desk counts the drawer, and the till says what should be in it — card and online have already settled themselves, so cash is the only thing anyone counts. Most days match to the cent; when one doesn't, you can see the gap and the day it happened on.

03 · A cancellation, resolved

A weather cancellation stays open until someone closes it.

Junior Development's Saturday session was called for rain; four players are still owed a makeup, credit or refund. It sits in the decision inbox — one of 13 cancellations waiting — until the office says which one it is and writes down why.

Member payments settle to your own Mollie account.

Members and households pay your club. Lesson fees, memberships, court hire and desk sales land in your club’s own Mollie account, on your club’s own payout schedule, and every cent of it stays yours.

The Academy subscription is its own invoice.

We invoice the club for Academy once a month. That is the only money that comes to us.

One cash-up

Court hire and desk takings close in the same day.

Online card, cash at the counter and the card terminal all close in the same cash-up, split by how it was paid and what it was for. Card and online settle themselves; the office counts the cash.

Every euro stays attached to its booking.

A refund, a credit, a ten-euro gap in the drawer — each one keeps the person, the booking and the day it belongs to.

The front desk

A register at the counter, and a day that closes out.

Sell a can of balls, a guest court or a coffee at the counter, take cash or card, and count the drawer at closing. Desk takings, court hire and lesson payments all close in the same cash-up.

The desk runs on the counter iPad or in a browser. Coaches, members and households get native iOS and Android apps alongside the web app.

Register

A tap-to-sell catalogue with per-item VAT. The desk picks the item; the price and the VAT rate come with it.

Cash and card

Take cash or run the card terminal. Refunds are recorded against the sale that created them.

Daily cash-up

Close the day by payment method and by source — desk sales, court hire, lessons. If the drawer is ten euro light, it says so.

VAT export

Export a day or a week as CSV, per VAT rate, for whoever does your books.

Staff roles

Owner, Office and Front desk each see their own slice of the club, and you can adjust it person by person. The desk can file a refund request; only office and owner move money.

iPad desk mode

A desk-shaped layout for the counter iPad. Whoever is on the floor gets the register and today’s bookings on one screen.
