The office runs the week in a browser. Coaches carry their calendar and roster. Households see their own schedule, enrollment and money. Change Tuesday’s lesson time in the office, and the coach’s phone and the family’s app already show it.

Six jobs in one club week

Run the week from planning to cash-up.

The same child, the same class and the same payment stay together, from the sign-up in August to the last receipt in June.

Plan

Lay out the season: lesson series, camps, which court, which coach, and the hours a court is blocked off for something else.

Enroll

A parent picks the right child, sees the price and how many places are left, and reads the terms before paying.

The coach opens the phone on court, sees who is in the group, ticks who turned up and notes how a player is coming along.

Decide

A swap to another group, a coach who needs covering, a lesson called off — they wait in one queue for a yes or a no.

Cash up

Checkouts, receipts and credits stay straight online, and the desk closes the day: a drink or a can of balls rung up with its own VAT, cash and card-terminal payments, one drawer count by payment method and source, and a VAT export for the bookkeeper.

Move a lesson, and the office, the coach and every enrolled family get the same message about it.

A parent asks for a trial on your own club page. The request lands in one list with a clock running, and stays there until someone has answered and the child has a place in a group.

Core runs the club week. The front door, the lead workbench, the warnings when a family starts drifting, and the office email inbox come with Start Plus and Academy Complete.

A public, club-branded page at your own link.

Switch on a landing page at app.contaktacademy.com/join/your-club. Each request arrives in the workbench with a note of where the family came from—the QR code on the poster, a link someone shared, a social post, or the page itself.

  • QR codes for flyers and posters, made in Academy and ready to print.
  • Children’s schedules stay private. The public class list stays off until you switch it on, and Google never sees it before then.
  • Email, WhatsApp or a phone number can sit beside the trial form, for the parent who would rather just ask. The club picks which of them it publishes.

Lead workbench

No trial request goes quiet.

Every request carries a “respond by” label that turns to “overdue” after 24 hours, and the overdue ones climb to the top of the Decision Inbox — on the office screen and on the phone.

  • One timeline per family — the first enquiry, every change since and every message you sent them, in order.
  • A person presses send. After a few quiet days Academy drafts the follow-up, and someone at the club reads it before it goes.
  • Household match tells you the enquiry came from a family you already have, so you don’t end up with them twice.
  • Who joined, and who is drifting — mark a trial as joined and see where it came from, and see the child who has missed three weeks before the parent cancels.
  • The office email inbox brings club mail into the same workbench, so the reply sits with the rest of that family’s history.

Communication

One line to every family and coach.

Each household and coach keeps a single pinned chat with the office, every class has its own thread, and an approval or a roll call can be answered straight from the inbox.

The office line

Staffed by the team, signed by a person.

The office line is one chat per household and one per coach. Anyone in the office can answer it, and every reply is signed—“Office (Anna).”

  • Per-class group chats carry attendance and RSVP cards, reactions and read receipts.
  • Answer from the inbox — approve, decide or fill in a roll call without leaving the notification.
  • Unread counts refresh about once a minute, and email and phone notifications reach the people who aren’t looking at the app.

Academy wherever the work happens.
